Reservation and Payment Procedure
Upon receiving your inquiry, an Overland China representative will outline some options that meet the needs of your vacation and then contact you within 48 hours with a list of destinations and the cost of each excursion. Upon agreement we will hold your reservation for up to two weeks while we await your payment.
Initially, we will accept a 10% deposit on your trip, with the remaining balance due 60 days prior to your start date. You will be notified prior to any surcharge that may be levied for additional expenses, which will not be charged without your approval.
We accept payments in the form of Credit Cards, bank transfers or Paypal. We will offer a 1% discount to those who wish to pay via wire transfer.
Cancellation and Return Policy
Should an extenuating circumstance require you to cancel your journey, we will allow for refunds on the following schedule:
- Up to 15 days prior to your start date, you will forfeit the initial deposit but refunded the remaining balance
- Prior to paying the full balance, you will be refunded half of your initial deposit
Should an extenuating circumstance force Overland China to cancel a trip, we will try our hardest to book you with another tour operator (at no additional cost) and if that is not possible, we will refund your payment in full.
Overland China is able to reserve plane tickets for guests upon request. The information required for ticket procurement will be:

At Overland China we offer two kinds of tour packages to suit the needs of different kinds of travelers, all-inclusive and semi-inclusive.
All-inclusive packages These packages are often better suited to first time travelers to China or those who are simply too busy to plan their trip and prefer to leave the planning to us. Unless otherwise specified, our tours will generally be all-inclusive, and the price that we send you will include all of the following:
- Accommodation – the price of all hotels or guesthouses included in the itinerary, at the level you request, with the assumption that each room will have two persons unless otherwise specified.
- Entrance fees – we will include the ticket costs for all attractions and activities to be enjoyed on the trip.
- Guide services – we include the cost of your private vehicle, including the guide who will escort you on your trip. We will also include fees for local guides at attractions that would enrich the experience for you.
- Meals – we will include the cost of breakfast, which will be served at the hotels, as well as dinner at local restaurants. Lunch, depending on the day’s activity, could be at a local restaurant or picnic style. Lunch is also included in the total cost. We will ensure that you enjoy the finest and freshest local dishes and specialties wherever you go that will make your trip complete!
- Plane Tickets – we will arrange all domestic flights for you, and if requested we can arrange your international flights as well. However, we find that most travelers have a preferred airline or wish to make their international arrangements themselves, and would like to leave that option open. If you do wish for us to make your international arrangements, we will work closely with you to ensure that it works with your schedule and personal preferences.
- Service Charge and Taxes – all government taxes as well as service charges for arrangements are included in the total cost of the trip.
The total cost of an all-inclusive trip will NOT include:
- Drinks and snacks not included on the itinerary – while most meals are included in the cost, you may decide to bring some snacks along with you, especially for full day outdoor activities. Guests are also responsible for alcoholic beverages and additional drinks requested during the meal (prices will include one drink per meal per person).
- Personal Charges – Overland China will not be responsible for laundry services, phone bills, postage or souvenirs that will be purchased on your trip. However, our guides can certainly assist you in completing any of these tasks is so desired.
Semi-inclusive packages are more suitable for guests who would like some flexibility within their itinerary or budget. Guests with sizable trekking sections may move quicker than the itinerary had planned or may decide to turn back and explore a different region. Other guests may fall in love with a certain destination and decide they want to spend an extra day taking photos or exploring nearby villages.
Generally a semi-inclusive package will include all fees associated with vehicles and guides, and often accommodation as well. Meals, entrance fees/tickets, and other associated costs such as bike rentals or camping equipment generally won’t be included. With a semi-inclusive package guests have more flexibility in deciding when, where, and what they will eat. As trips progress guests may also decide they want to see more monasteries, less museums, or more secluded villages, which is why entrance fees and tickets are not included. Semi-inclusive packages also offer more flexibility in budgeting, because meals in China can be had for as little as 1-2 USD/Euro per person or as much as back home.
Liability and Responsibility
Overland China takes great care and responsibility with every request that we receive. As a tour operator, we will coordinate the services that we promise and will work our hardest to ensure that everything runs smoothly. However, as we have no management stake or affiliation with many of the suppliers, we cannot be held responsible for omissions, negligent acts or equipment failures on their behalf. We will, however, accept responsibility for any negligent acts or mistakes on behalf of our guides or other employees.
Prior to receiving payment, we reserve the right to adjust the value of the tours based on currency revaluation or adjustments such as airfare, hotel rates or entrance fees. If we have already received payment, then Overland China will accept the loss and your total cost will remain as is.
We are not responsible for our customers’ failure to comply with customs regulations, and reserve the right to suspend customers from a tour should they not abide by company regulations or Chinese law.
Any complaints that you may have during or after the tour should be directed to your guide or to our office, and we will try our best to ensure that all of your requests are met in an efficient and satisfactory manner.
